Position: Bilingual Administrative Assistant
Rate of Pay: $15/Hour

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include making meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or administrative assistant, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Essential Duties and Responsibilities
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Maintain an electronic filing system
  • Maintain contact lists
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

  • Excellent computer skills with proficiency in Microsoft Office programs such as Microsoft 365, Word, Excel, Outlook, PowerPoint, and Publisher, and internet browsers and web-based software, databases and programs required
  • Must demonstrate excellent organizational, time, and task management skills; Detail-oriented, highly organized, and excellent time management skills are a must
  • Must demonstrate the ability to understand and carry out complex oral and written instructions, and

critical thinking and problem-solving skills

  • Must have excellent written and spoken communication skills, as well as presentation and/or public

speaking skills

  • Minimum of a High School Diploma or GED required; Bachelor’s or Associates Degree in Business Administration, Public Administration, Early Childhood Education, Social Services, Psychology or related field or Vocational School Certificate or Degree from an accredited institution strongly preferred
  • Work or volunteer experience in child care and/or early childhood education programs preferred
  • Bilingual required; Fluent in both English and Spanish in speaking and writing
  • Must be eligible and able to obtain a class-one Arizona Level One Fingerprint Clearance Card, pass a criminal and child abuse background check
  • Obtain a minimum of 12 hours of professional development annually
  • Local, state, national travel, overnight, and weekend stays, able to work evenings and weekends as needed
  • Must have a current Arizona Driver’s License and an insured, reliable automobile, with no more than 2 moving violations in the past 39 months and no driver’s license suspensions or revocations
